Google Drive, Dropbox and OneDrive are very good at storing files.

That is exactly why so many window and door companies use them.

Photos from a measure can go into a folder. Permit documents can be uploaded later. Estimates, drawings, contracts and installation photos can all be stored in the same place and shared with the team.

For basic file storage, that works.

The problem begins when the company needs more than storage.

A window and door project is constantly changing. Measurements are updated, products are selected, openings are revised, questions come from the field and new documentation appears throughout the job. At that point, knowing where a file is stored is only part of the problem.

The more important question becomes:

What part of the project does this file actually belong to?

A Folder Knows the Project. It Doesn't Know the Opening.

Imagine a project with 22 windows and four doors.

After the first measure, someone uploads 30 photos to a Google Drive folder. A few days later, another employee uploads the final measurements. The permitting team adds PDFs. Someone else uploads product specifications, and the installer eventually adds another set of photos.

Everything may technically be organized inside the correct project folder.

But open a file called IMG_3847.jpg three months later and the context is much less obvious.

Which opening is it?

Was the photo taken during the initial measure or final measure?

Is it showing an installation condition that someone needs to address?

Was there a conversation about it?

Did another employee upload a newer image afterward?

Traditional cloud storage can tell you where the file lives.

It usually cannot tell you where that file lives inside the actual project.

That distinction matters.

Window and Door Projects Have More Structure Than Folders

Window and door projects naturally have their own hierarchy.

There is the property. Inside the property there may be floors or areas. Inside those areas are individual openings. Each opening can have measurements, a product configuration, photos, notes, documents and its own history of changes.

That is why project documentation becomes harder to manage as the company grows.

You can try to recreate this structure manually:

Project / Floor 1 / Living Room / Window 05 / Photos / Final Measure

But eventually the folder structure becomes another system employees need to maintain.

And files do not always belong neatly inside one folder.

A photo might be important to an opening, a discussion, an estimate and an installation issue at the same time.

The problem appears when a general-purpose file system becomes the primary operating system for a highly structured project.

A window replacement project is not just a collection of documents.

It is a network of openings, measurements, decisions, products, people and field evidence.

The closer the documentation stays to that structure, the easier it becomes for the next person to understand what happened.
